Privacy Policy
Freelance Studio Ltd Co. (“Freelance Studio,” “we,” “us,” or “our”) operates the website at freelancestud.io and the Freelance Studio WordPress plugin (collectively, the “Service”). This Privacy Policy explains what information we collect, how we use it, and your choices regarding your data.
1. Our Commitment to Your Privacy
Freelance Studio is a self-hosted WordPress plugin. This means the business data you create and manage through the plugin — including client records, invoices, contracts, proposals, projects, time entries, and expenses — is stored in your own WordPress database, on your own server. We do not have access to, collect, or store your business data.
This Privacy Policy covers only the information we collect through our website, licensing system, and optional analytics. It does not cover data stored in your self-hosted WordPress installation, which is governed by your own privacy practices and your hosting provider’s policies.
2. Information We Collect
2.1 Information You Provide Directly
When you interact with our website or Service, you may provide us with:
- Account information: name, email address, and website URL when you activate the plugin or create an account
- Payment information: billing details processed through our payment processor (we do not store credit card numbers)
- Support communications: messages, screenshots, or files you send when contacting support
- Feedback and surveys: responses to optional feedback prompts or surveys
2.2 Information Collected Automatically
When you use our website or activate the plugin, we may automatically collect:
- Website analytics: pages visited, referral source, browser type, device type, and IP address (collected via standard website analytics on freelancestud.io)
- Plugin diagnostics: WordPress version, PHP version, active theme, plugin version, server type, and basic site configuration (collected through the Freemius SDK upon opt-in)
- License data: activation status, plan type, trial status, and feature usage patterns
- Deactivation feedback: optional reason provided when deactivating the plugin
2.3 Information We Do Not Collect
We want to be clear about what we do not have access to:
- Your client names, contact details, or business relationships
- Your invoices, proposals, contracts, or their contents
- Your project details, tasks, or time entries
- Your financial data, revenue, expenses, or tax information
- Any files uploaded to your WordPress site through the plugin
- Signatures, payment records, or booking information
All of this data remains in your WordPress database under your sole control.
3. How We Use Your Information
We use the information we collect for the following purposes:
- To provide, maintain, and improve the Service
- To process payments and manage your subscription
- To send transactional emails (purchase confirmations, license keys, renewal notices)
- To provide customer support and respond to your inquiries
- To monitor and analyze usage trends to improve the plugin
- To detect and prevent fraud, abuse, or security issues
- To comply with legal obligations
We do not sell, rent, or share your personal information with third parties for their marketing purposes.
4. Third-Party Service Providers
We work with a limited number of third-party services to operate and improve Freelance Studio:
Freemius — Our licensing and distribution partner. Freemius processes license activations, manages subscriptions, handles payment processing, and collects optional plugin diagnostics. When you activate the plugin, you are presented with an opt-in screen where you can choose whether to share diagnostic data. Freemius has its own privacy policy available at freemius.com/privacy.
Payment Processors — Payments are processed by third-party providers (such as Stripe or PayPal) through Freemius. We do not directly handle or store your credit card or payment account details.
Website Analytics — We may use analytics tools on our website (freelancestud.io) to understand how visitors use our site. These tools may use cookies and collect anonymized usage data.
Email Services — We may use third-party email providers to send transactional and support emails.
These providers are contractually obligated to use your information only for the purposes of providing their services to us and in accordance with applicable privacy laws.
5. Google API Services
Freelance Studio offers optional integration with Google Calendar and Google Meet. If you choose to enable this integration:
- You will be asked to authorize access through Google’s OAuth 2.0 flow
- We request only the minimum permissions necessary (calendar read/write access)
- Your Google credentials (OAuth tokens) are stored in your own WordPress database, not on our servers
- Calendar data is synced directly between your WordPress site and Google’s servers
- We do not access, store, or transmit your Google data through our infrastructure
Your use of Google API services is also subject to Google’s Terms of Service and Privacy Policy. You can revoke access at any time through your Google Account settings or within the plugin’s settings.
6. Cookies and Tracking
Website (freelancestud.io): Our website may use cookies for analytics, session management, and to remember your preferences. You can control cookies through your browser settings.
Plugin: The Freelance Studio plugin itself does not set cookies in your WordPress admin area. The Freemius SDK may use cookies for license management and opt-in tracking.
Client-facing pages: Public pages generated by the plugin (such as invoice views, contract signing pages, and booking pages) may use session cookies to maintain state. These cookies are set on your domain, not ours.
7. Data Retention
- Account and license data: retained for as long as your account is active, plus a reasonable period after cancellation for administrative purposes
- Payment records: retained as required by tax and financial regulations
- Support communications: retained for as long as necessary to resolve issues and improve our Service
- Analytics data: retained in aggregated, anonymized form
- Plugin business data: stored in your WordPress database and retained entirely at your discretion — we have no ability to access or delete it
8. Data Security
We take reasonable measures to protect the information we collect, including encryption of data in transit (HTTPS), secure payment processing through PCI-compliant providers, and access controls on our systems.
Because the core plugin data resides on your server, the security of your business data depends on your hosting environment, WordPress configuration, and security practices. We recommend using SSL certificates, keeping WordPress and plugins updated, and following your hosting provider’s security guidelines.
9. Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal information:
- Access: You may request a copy of the personal information we hold about you
- Correction: You may request that we correct inaccurate information
- Deletion: You may request that we delete your personal information, subject to legal retention requirements
- Opt-out of diagnostics: You can skip or opt out of Freemius diagnostic data collection during plugin activation or at any time in the plugin settings
- Unsubscribe: You can opt out of non-essential emails using the unsubscribe link in any email
To exercise any of these rights, contact us at admin@freelancestud.io. We will respond within 30 days.
10. Children’s Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete that information promptly.
11. International Users
Freelance Studio is operated from the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.
For users in the European Economic Area (EEA) or the United Kingdom, we process personal data on the basis of contractual necessity (to provide the Service), legitimate interest (to improve our products), and consent (for optional diagnostics and marketing).
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page and provide notice through our website or the plugin. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
We encourage you to review this Privacy Policy periodically.
